How to Verify a Chinese Company Before You Pay
Start by identifying the exact Chinese legal entity, then verify its registered name, Unified Social Credit Code, registration status, legal representative and relevant public records. Do not rely on an English trading name, website or business-licence image alone.
1. Start with the exact legal entity
A supplier’s English trading name may not be its registered company name. Before checking risk signals, establish which legal entity is actually issuing the quotation, signing the contract, invoicing you or receiving payment.
Ask for the company’s full Chinese registered name and, where available, its Unified Social Credit Code. These are stronger entity-matching anchors than a translated name alone.
2. Check the Chinese registered name
Chinese company records are organised around the registered legal identity. Transliteration and English branding can vary, so a search based only on an English name can match the wrong entity or miss the company entirely.
3. Confirm the Unified Social Credit Code
Mainland Chinese companies generally use an 18-character Unified Social Credit Code as a core identifier. Reconcile the code shown on the business licence with the entity identified in public records and transaction documents.
4. Verify the current registration status
A business-licence image is a snapshot, not proof of current status. Check whether the entity is currently registered and note material status changes. Terms such as deregistration, revocation and abnormal-operation listings describe different events and should not be treated as interchangeable conclusions.
5. Review the legal representative and registered scope
Compare the legal representative and registered business scope with the information supplied by the counterparty. A mismatch is a reason to investigate further, not by itself proof of misconduct.
6. Reconcile the transaction identity
Compare the entity appearing on the quotation, contract, invoice and payment instructions. Differences may have legitimate explanations, including group-company arrangements or authorised collection structures, but they should be explained before funds are sent.
7. Review relevant public-record signals
Depending on the question and source availability, useful records may include corporate registration information, administrative records, court or enforcement information, intellectual-property records and other official or lawfully usable public sources. The relevance of each record depends on context and accurate entity matching.
8. Separate facts from inference
A registered company is not automatically a reliable supplier, and the absence of an adverse public record does not prove product quality, solvency, manufacturing capacity or future performance. Good verification states what the sources establish, what they suggest and what they cannot establish.
9. Know when a deeper check is appropriate
Higher transaction value, unusual payment instructions, inconsistent entity information, regulatory exposure or unexplained public-record findings can justify broader research. The scope should follow the commercial question rather than a generic checklist.
